5. AI Tools and Artificial Intelligence Disclosure

HAIBRID Consulting uses artificial intelligence tools in our operations, including but not limited to Claude (Anthropic) and GPT (OpenAI). We believe in transparency about how these tools are used.

How We Use AI Tools

  • Research and Analysis: AI tools assist in industry research, data analysis, and identifying patterns relevant to client engagements.
  • Content Creation: AI tools assist in drafting educational content, case studies, reports, and other materials. All AI-assisted content is reviewed and validated by human practitioners before publication or delivery.
  • Deliverable Development: AI tools may be used in the development of consulting deliverables, including workflow design, documentation, and analysis. All deliverables represent our professional judgment, not raw AI output.

AI Processing of Form and Assessment Data

Certain forms on our Site — including the AI Readiness Assessment and other diagnostic or intake forms — submit your responses to AI tools (via API) to generate personalized content. This includes:

  • Personalized assessment results based on your responses.
  • Tailored follow-up emails with recommendations, insights, or next steps specific to your inputs.
  • Customized resource suggestions based on your stated business context.

When your form data is processed by AI tools:

  • Your responses are sent to the AI provider’s API for processing and content generation.
  • We use AI provider API services that, under their current terms, do not use API inputs to train or improve their models.
  • The AI-generated output (your personalized results or email content) is delivered to you and may be stored in our email marketing platform (ConvertKit) or CRM (Notion) as part of your communication history.
  • Your raw form responses may be stored in our database and automation systems (n8n, PostgreSQL) for the purpose of delivering and improving our assessment tools.

AI and Client Engagement Data

  • Client Engagement Data: During consulting engagements, data accessed from client systems is processed under the terms of our Data Processing Agreement (DPA) with each client. Client data is accessed on a pass-through basis (see Section 6) and is not used to train or fine-tune AI models.

General AI Data Commitments

  • No AI Training: We do not contribute your personal data to train third-party AI models. We use API-based services with data processing terms that exclude training on inputs.
  • Human Review: All AI-generated content that is published or delivered as a consulting deliverable is reviewed by a human practitioner. Automated emails generated from assessment data are reviewed and approved at the template level before deployment.
  • Data Minimization: We send only the form fields necessary for generating your personalized content to the AI provider. We do not send your full profile, browsing history, or unrelated data.

6. Client Engagement Data: Pass-Through Access Model

During consulting engagements, HAIBRID Consulting may access client business systems (such as ServiceTitan, QuickBooks, CRM platforms, and similar tools) to perform diagnostic, implementation, and optimization services.

Our data access model is pass-through only:

  • We access client systems directly during the engagement period.
  • We do not copy, store, or persist client business data in our own databases, file storage, or infrastructure beyond what is needed to deliver the specific engagement.
  • Data processing occurs in-session. We do not retain copies of client data after the engagement concludes.
  • All client data access is governed by a separate Data Processing Agreement (DPA) executed with each client before hands-on work begins.

This Section 6 applies to client engagement data specifically. Website visitor data (form submissions, analytics, email subscriptions) is handled as described in the other sections of this Privacy Policy.

7. Managed Hosting (Managed Middleware) Data

For clients who use our Managed Middleware hosting service, the following applies:

  • Each client receives a dedicated, isolated hosting instance (single-tenant architecture). Client data is not commingled between tenants.
  • Hosting infrastructure is managed by HAIBRID Consulting on DigitalOcean cloud infrastructure.
  • Client data within the hosted instance is owned by the client and is subject to the terms of the Managed Services Agreement.
  • Upon termination of the hosting relationship, client data is exported to the client and the instance is decommissioned within 30 days of the termination effective date.
  • Third-party components used in hosting (DigitalOcean infrastructure, n8n open-source software, API providers configured by the client) are subject to their own terms and privacy policies.

HAIBRID Consulting and Live Your Hobby (LYH) are both brands operated by Easus J Holdings LLC, a Florida limited liability company.
